Terms & Conditions

Reservation Policy & Terms and Conditions:

Rates for 2-bedroom units include up to 4 persons. Additional persons are $20 per night, with a maximum of 6 total persons.

Rates for 3-bedroom units include up to 6 persons. Additional persons are $20 per night, with a maximum of 8 total persons.

A $1030 deposit is required to confirm a reservation. The balance of payment is due 60 days prior to arrival except for holiday bookings which are due 10/15. Final payments are automatically charged with the card on file, unless informed otherwise and are non-refundable. All rates are subject to 17.96% Hawaii State Tax. (We accept Checks, Visa, or MasterCard.)

Minimum Night Stay: 5 Nights

Thanksgiving Season Minimum Night Stay: 7 Nights

Holiday Season Minimum Night Stay: 10 Nights

(Please contact our office if your stay is less than the minimum night stay.)

Cancellation Policy:

  • The $1000 deposit is NON-REFUNDABLE.
  • Cancellation within 2 – 6 months prior to arrival: $750 will be deducted from the deposit.
  • Cancellation within 7 – 11 months prior to arrival: $500 will be deducted from the deposit.
  • Final payment is taken 60 days prior to arrival and is NON-REFUNDABLE.

Travel Protection Insurance:

We highly recommend that guests consider purchasing travel protection insurance to safeguard against unforeseen circumstances. Travel insurance can provide coverage for unexpected events such as trip cancellations, interruptions, or delays, ensuring peace of mind during your travel planning. Please consult with your preferred insurance provider to explore suitable options for your protection.

We appreciate your understanding of our cancellation policy, and we believe that investing in travel protection insurance can add an extra layer of security to your travel plans.

Changes: Any credit card transaction (payment or refund) requires a 3% credit card fee, any changes in payment specifics requires a $50 change fee.

Damage Protection

We offer Vacation Rental Damage Protection for a one-time $40 fee in place of the security deposit. This plan covers any unintentional damages to the rental unit interior up to $1,500. If you do not wish to use the Vacation Rental Damage Protection, then we’ll require a check for $1,500 that will be deposited. Your refund will be mailed to you after inspection at the end of the month of your stay.

Private Property

Guest acknowledges that the accommodation is a privately owned condominium as opposed to a hotel. As such, hotel-like amenities such as daily cleaning and bell service are not provided.

Each unit is individually owned, and items contained in the units and on the lanais are the private property of the owners. Items are not to be moved, removed, or taken to another unit. Any items that are missing may be subject to additional charges.

Quiet Enjoyment

Quiet hours begin at 10 pm and conclude at 8 am. Please be considerate of your neighbors and observe the quiet hours in your unit and on your lanai as well as on the grounds of the property.

The tenants shall behave in a civilized manner and shall be good neighbors respecting the rights of the property owners. Tenants shall not use the property for any illegal or unlawful purpose, nor shall the property be used in a fashion that disturbs or offends the neighbors.

Children under 5 years of age, per the Center of Disease Control and American Academy of Pediatrics recommendations, are strictly forbidden from using the hot tub, Also no one wearing swim diapers is allowed in the hot tub.

Creating a disturbance can be grounds for immediate termination of this agreement and Tenants can be asked to vacate the premises with no refund.

Upon Arrival

If there are concerns or issues with your rental property, please contact the Rental Office at 808 669 5111 immediately (leave a message if there is no answer). No refunds or considerations are given unless we are notified of problems during your stay and given the opportunity to resolve the issue. Any discovered deficiencies upon entering your rental must be reported within 24 hours of your arrival.

Repair and service calls

Agent and owner do not guarantee against mechanical or electronic failure of air conditioning, fans, lights, televisions, or other equipment. Guest agrees to report any inoperative items promptly, and agent agrees to make every effort to have done maintenance performed quicky and efficiently. Agent reserves the right to enter the unit to facilitate these repairs.


As a courtesy to our guests a small “starter” supply of items are provided: soap, shampoo, conditioner, toilet paper, paper towels, laundry, and dish soap. Any additional items needed for the duration on their stay is the responsibility of the guest.


Guest shall dispose of all waste materials generated during their stay in the designated areas. Recycling stations are provided.

No Smoking

All units are designated as non-smoking, Guest agrees that there will be no smoking in the unit. Guest will be responsible for any damage to the property caused by cigarettes or cigarette smoke.

Other Disturbances/Occurrences

Management and property owner will not assume liability for any loss, damage or inconvenience caused by but not limited to weather conditions, natural disasters, pandemics, pests, construction, public/private events, acts of God, wildfire/smoke, road closures, interruption of services and utilities or other reasons beyond control.

Hawaii’s tropical climate provides the ideal living conditions for various pests, making it difficult to completely eliminate their presence. While the AOAO schedules regular professional pest control services to minimize guest interactions, contact with such pests within or outside the unit does not breach this agreement nor entitle anyone to a refund or compensation.

Please note that while we strive to ensure a peaceful stay for our guests, areas neighboring the Kahana Village property may be subject to disturbances including but not limited to noise or inconvenience due to construction, traffic, other guests or neighbors. This does not breach this agreement nor entitle anyone to a refund or compensation.

Please be aware that we are painting the external portion of the buildings across Spring and Summer of 2024.

Please do not bring Costco boxes or cardboard boxes of any kind into your unit throughout the duration of your stay.  They often harbor cockroaches.
